What are the Responsibilities of the Hosting Communities?

©Community Coordinators should contact one anther to coordinate efforts in hosting each Weekend.

©It is the responsibility of the hosting Community to help ensure that the Weekend is full.  To this end the Community should conduct major inviting activities 2 months in advance of the Weekend.

©Create 30 felt banners in advance of the Weekend.  You can purchase pre-cut banner sized felt pieces and sew a simple ½ inch sleeve at the top for the dowel to slide into.  The decoration on each banner can vary, but the words should always be “ENJOY”.  Use yarn to create a hanger from one end of the dowel to the other.  Please do NOT use any seasonal themes or put dates on them.

©Hosting Communities are responsible to provide a prayer couple for the priest giving the weekend as well as any couple from outside the Joliet Area.  Hosting Communities may also be asked to provide prayer couples for any couples from inside the C/G/J Area who's Community can not cover.

©Contact the Tom Leonard at 630-850-9703 and arrange a time to pick-up the key for the public storage unit, which is in close proximity to the hotel.  You will need a mini-van to contain all of the supplies.  It will be obvious what items need to be brought to the hotel. 

©Arrange with your Community to meet at the Weekend Facility by 5:30pm.  Helpers should be discouraged from bringing their children.  You are responsible for setting up the conference room and checking in the couples at a registration table.  (room assignments can be obtained from the front desk)  Instructions for completing these tasks can be found in the box marked "Registration"

©Couples will begin to arrive between 6:30 an 7:30.  Community couples should warmly greet each couple, help to check them in at the registration table and carry their luggage up to their rooms.

©Be at the Weekend facility by 3:45pm on Sunday to tear down the conference room.  All supplies remaining should be returned to their container and returned to the storage unit.  The key should be returned to Tom Leonard immediately.
